[How to improve your communication]
Have you ever struggled to communicate with your team? In the digital age, the cost of communication has never been lower, but as the time between our thoughts and message shrinks - our effort to produce the message also shrinks - the chance of miscommunication increases. If you can be conscious in picking the channel when delivering the message, you can improve your communication with your team.
1. Email:
Email is a great to send information to others, let them digest and reply on their terms. However, this is a double edged sword, as the delay in reply time renders Email to be less conversational. Recipients reply based on the information provided, not being able to spar point to point, leads to higher chance of misunderstanding. Email is great for passing on information, to inform your team of something. But if you are aiming to influence others or generate a deeper understanding, the other party needs to feel like they have all their needs(information) met, this is much easier to achieve through a conversation.
2. Instant messaging:
Almost the default option for most teams in the digital age, but due to the bite-size quality of this channel, it’s ability to address complex issues are poor. Moreover, due to being ad-hoc and reactive based, a lot of emotion and tonal nuances are misinterpreted. If the topic in discussion is sensitive and complex, a more intimate channel should be considered.
3. Face to Face:
The most important thing about communicating/setting up a face to face meeting is to make sure the other party can prepare for the meeting if required. And the more emotional or controversial the topic, the more time you should allow the participants time to prepare for the exchange. If people are not prepared, they could become defensive and overwhelmed which defeats the purpose of communication.
It’s important to be aware of the nature of your message and which channel to execute it through. Don’t let the low cost of communication make you lazy, remind yourself that the cost of miscommunication is very high.
